Projects Coordinator

HIRE DATES: January 1st May 31st (with intent to extend on month to month basis)

COMPENSATION: $3,000 (total), this position will work as an independent contractor

OVERALL JOB DESCRIPTION: We are looking for a Projects Coordinator to manage and deliver regular year-round projects on the organization’s annual schedule, as well as special projects that may arise. As part of this role, you will be working with senior team members, applying your skills to help the organization strengthen its operations.

RESPONSIBILITIES: The responsibilities of the Special Projects Coordinator include but are not limited to:

·      Create and execute project work plans and revise as appropriate to meet changing needs and requirements.

·      Manage day to day operational aspects of assigned projects and research information related to project scope as needed.

·      Oversee our lobby operations at both our San Diego and La Paloma monthly series screenings, and feStivale in the fall. This includes coordinating volunteers and being the point of contact for our partner venues for logistical and operational matters. You will need to be present at both screenings one per month.

·      Maintain sales and performance data.

·      Act as the point of contact for external parties to organize work projects.

·      Work with ED, Associate Executive Director, and Artistic Director in the development and implementation of events as needed.

·      Work with SDIFF public relations manager to schedule press releases and communications in conjunction with our events.

·      Manage a small team of interns and volunteers helping with events as needed.

·      Create periodic Status Reports on events’ performance and tickets sales for senior leadership team.

·      Adhere to and complete tasks on a predetermined timeline.

·      Provide wrap up and completion materials.

·      Participate to Staff meetings.

QUALIFICATIONS:

·      Preferred Bachelor’s degree.

·      2 years of full-time experience in the field of project management.

·      Strong organizational and project management skills.

·      Passion for movies, Italian culture, and the arts. Knowledge of Italian not required but a plus.

·      A self-motivated, self-starter adept at juggling multiple projects and problem solving.

·      Strong written and verbal communication skills.

·      Attention to detail and good follow-through.

·      Ability to prioritize and delegate in high stress, high volume situations; works well under pressure and with close deadlines.

Development Coordinator

OVERALL JOB DESCRIPTION: We are looking for a Development Coordinator to help our growing organization identify, develop, and secure additional funds by researching and pursuing new funding opportunities including corporate sponsorships and partnerships, maintaining and growing our membership and donor’s database, and coordinating work with our grant writer. As part of this role, you will be working with senior team members, applying your knowledge to help the organization strengthen its fundraising efforts.

RESPONSIBILITIES: The responsibilities of the Development Coordinator include but are not limited to:

·      Manage our members’ database and membership program and explore options for database improvement.

·      Coordinate and implement fundraising efforts including membership drives, sponsorship decks, special partnerships, corporate support, and our annual silent auction.  

·      Support with the preparation of grant proposals and ad hoc presentations using marketing resource materials such as brochures and cards, data, slides, photographs, and reports.

·      Prepare status reports on development efforts.

·      Work with ED, Associate Executive Director, and Artistic Director to create an effective fundraising plan leading to our fall annual festival.

·      Work with design team to create printed and digital fundraising materials needed for fundraising efforts.

·      Work with SDIFF public relations manager to schedule press releases and communications in support of fundraising efforts.

·      Manage a small team of interns and volunteers helping with development tasks as needed.

·      Create periodic Status Reports on fundraising efforts for senior leadership team.

·      Adhere to and complete tasks on a predetermined timeline.

·      Provide wrap up and completion materials.

·      Participate to Staff meetings.

QUALIFICATIONS:

·      Preferred Bachelor’s degree.

·      2 years of full-time experience in the field of non-profit fundraising and development.

·      Knowledge of CRM, fundraising database is highly desirable.

·      Creative with an experience in designing engaging campaigns in the arts highly desirable.

·      Strong analytical skills and data-driven thinking.

·      Up-to-date with trends and best practices in fundraising especially in the field of the arts.

·      Passion for movies, Italian culture, and the arts.

·      Knowledge of Italian not required but a plus.

·      A self-motivated, self-starter adept at juggling multiple projects and problem solving.
